Privacy Policy

RCMFlow ("RCMFlow," "we," "us") is an operations platform for medical billing. This policy explains what information we collect through rcmflow.io, how we use it, and the choices you have. RCMFlow is available by invitation; this policy covers the website and demo requests.

Information we collect

Demo-request information. When you request a demo, we collect your name, email address, company/practice, the number of tax IDs you manage (if provided), any message you send, the page you submitted from, and a timestamp.

Technical information. Like most websites, our hosting provider records standard server logs (IP address, browser type, pages requested, timestamps) for security and reliability. If we enable analytics tools, they may collect usage information such as pages visited and approximate location derived from IP address.

What we do not collect. The website and demo form do not request or store protected health information (PHI), patient data, payment card details, or passwords. Please do not submit PHI through the demo form.

How we use information

We use demo-request information to contact you about a demo, onboarding, and setting up your account, and to understand interest in the product. We use technical information to operate, secure, and improve the site. We do not sell your personal information, and we do not share it with third parties for their own marketing.

Service providers

We use a small number of service providers to run the site: Vercel (website hosting and request logs), Google (Google Sheets and Google Apps Script, where demo requests are stored, and email), Microsoft Clarity (usage analytics such as pages visited, clicks, scrolling, and session replays, used to improve the site), and our domain/DNS provider. These providers process data on our behalf under their own security and privacy commitments.

Retention

We keep demo-request information until you ask us to remove it or until it is no longer needed to follow up with you. Server logs are retained per our hosting provider's standard rotation.

Your choices and rights

You can request a copy of the information we hold about you, ask us to correct it, or ask us to delete it at any time by emailing info@rcmflow.io. Every marketing email we send includes a way to opt out. Depending on where you live, you may have additional rights under laws such as the CCPA or GDPR; we honor reasonable requests regardless of jurisdiction.

Security

We use reputable providers, HTTPS everywhere, and least-access practices to protect your information. No method of transmission or storage is 100% secure, but we work to protect what you share with us.

Children

RCMFlow is a business tool. The site is not directed to children under 16, and we do not knowingly collect information from them.

Changes

We may update this policy as the product evolves — for example, when the application launches publicly, when we add analytics, or when we begin supporting customer data that includes PHI (which will be governed by additional terms and, where applicable, Business Associate Agreements). We will post the updated policy here with a new effective date.
