Terms of Service

Effective date: July 2, 2026

These terms govern your use of the rcmflow.io website and, once invited, the RCMFlow service (together, the "Service"), operated by RCMFlow ("we," "us"). By using the Service, you agree to these terms.

Access, trial & pricing

Access to RCMFlow is by invitation — there is no public sign-up. New accounts begin with a 30-day free trial with no credit card required and no obligation. After the trial, continued use requires a paid plan ($200 per 90 days, or $600 per year, as offered at the time). You will never be charged without explicitly selecting a paid plan first, and you may stop using the Service at any time. Features may be added, changed, or removed as the product evolves.

Acceptable use

You agree to use the Service only for lawful business purposes, and not to: attempt to access other customers' data; probe, scan, or test the vulnerability of the Service; reverse engineer or copy the Service to build a competing product; or submit malicious code. You are responsible for the accuracy of information you enter and for keeping your account credentials confidential.

Protected health information

Do not enter protected health information (PHI) into the Service unless we have signed a Business Associate Agreement (BAA) with your organization. Contact info@rcmflow.io to discuss BAA availability.

Your data

You retain all rights to the data you enter into the Service. You grant us the limited right to host and process it solely to provide the Service. Upon written request at account closure, we will delete your data within a commercially reasonable period, except where retention is required by law. Our handling of personal information is described in the Privacy Policy.

Intellectual property

The Service, including its software, design, and branding, is owned by RCMFlow. Feedback you provide about the Service may be used to improve it without obligation to you.

Disclaimers

The Service is provided "as is" and "as available," without warranties of any kind, express or implied. RCMFlow is an operations and drafting tool: it does not provide legal, medical, coding, or billing advice, and outputs (including AI-drafted appeal letters) must be reviewed by a qualified professional before use. You are responsible for compliance with payer requirements and applicable law.

Limitation of liability

To the maximum extent permitted by law, RCMFlow will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenues, or data, arising from your use of the Service. Our total liability for any claim relating to the Service is limited to the amount you paid us for the Service in the twelve months before the claim (or $100 if you have paid nothing).

Termination

You may stop using the Service at any time. We may suspend or terminate access for breach of these terms or to protect the Service or its users. Sections concerning data, intellectual property, disclaimers, and liability survive termination.

Changes and governing law

We may update these terms as the Service evolves; material changes will be posted here with a new effective date, and continued use constitutes acceptance. These terms are governed by the laws of the United States and the state in which RCMFlow is registered, without regard to conflict-of-law rules.
